For most home and office users, a 256GB SSD is a sensible starting point. If you store a lot of photos, videos or other files locally, 512GB can be a better long-term choice. Most people looking for 1TB or more already know they need the extra space.

Storage capacity is one of those specifications where it is easy to assume bigger must automatically be better.

But like RAM and processor performance, the right answer depends on how you actually use the computer.

At NZ Laptop Wholesale, we generally consider 256GB a good practical size for most everyday users. A 128GB SSD can still be perfectly acceptable if the computer is mainly used for web browsing, Office applications and cloud-based work without much local media storage.

If the budget allows, though, we usually prefer to step up to 256GB because it gives you more breathing room as files and applications accumulate over time.

128GB vs 256GB vs 512GB vs 1TB: the simple answer

As a general guide:

  • 128GB: Suitable for basic home, school or office use where relatively little data is stored locally.
  • 256GB: Our preferred starting point for most everyday users.
  • 512GB: A good choice if you store photos, videos, larger files or expect the laptop to be your main personal computer for several years.
  • 1TB or more: Usually for users who already know they have large storage requirements.

The important question isn’t simply, “Which drive is bigger?”

It is:

“How much data am I realistically going to keep on this computer?”

Is a 256GB SSD enough?

Yes. For most home and office users, 256GB is still a very practical amount of storage.

It gives enough room for Windows, everyday applications and a reasonable collection of documents without paying for storage capacity you may never use.

A typical everyday user might be using their laptop for:

  • Web browsing
  • Email
  • Microsoft Office
  • Online banking
  • Cloud-based business systems
  • Teams or Zoom meetings
  • School or university work
  • General document storage
  • Streaming media rather than storing it locally

For those sorts of tasks, 256GB can be plenty.

That’s why it is such a common capacity in the ex-lease business laptops and desktops we handle.

Is 128GB still enough?

It can be.

We don’t automatically dismiss a laptop simply because it has a 128GB SSD.

If the machine is being used for relatively light computing and the user isn’t storing a large collection of photos, videos, games or other media locally, 128GB may be completely adequate.

This is particularly true for:

  • School laptops
  • Secondary computers
  • Cloud-focused business users
  • Web and Office machines
  • Shared or task-specific computers

Where the budget allows, however, we generally prefer 256GB.

Storage usage tends to creep up over time. Applications get installed, documents accumulate, Windows updates require working space and users often keep more data than they originally expected.

Starting with 256GB provides more room for that growth.

When does a 512GB SSD make sense?

512GB becomes more attractive if the laptop is going to hold a meaningful amount of your personal data.

For example:

  • Large photo collections
  • Locally stored video
  • Music libraries
  • Large work files
  • Creative applications
  • Games
  • Offline copies of cloud storage
  • A computer that will be your main personal machine for several years

If this is your primary laptop, it can make sense to buy the larger drive now rather than planning around the absolute minimum you need today.

Personal data has a habit of growing.

Photos accumulate, phones get upgraded, files get copied across from older computers and applications gradually take up more room.

That doesn’t mean everyone needs 512GB, but it can provide useful long-term headroom.

Who actually needs a 1TB SSD?

In our experience, most customers who specifically ask for a 1TB drive already know why they need it.

They may have:

  • A very large photo or video collection
  • Large professional project files
  • Games requiring substantial storage
  • Virtual machines
  • Large datasets
  • Specialist applications
  • A requirement to keep substantial data available offline

For an ordinary home or office user who mainly works with documents and browser-based applications, 1TB can be far more storage than they will ever use.

If you know you need it, buy it.

If you’re unsure whether you need it, you probably don’t need to make 1TB your starting point.

Cloud storage has changed how much local storage businesses need

Modern business computing has changed significantly from the days when almost everything lived on the computer’s internal hard drive.

Many businesses now use services such as:

  • Microsoft OneDrive
  • SharePoint
  • Google Drive
  • Microsoft 365
  • Browser-based accounting systems
  • Cloud CRM systems
  • Other SaaS applications

For those users, a large percentage of their information may live in the cloud rather than permanently occupying local disk space.

That can make smaller SSDs perfectly practical for business laptops.

Home users can be slightly different.

Even when they use OneDrive, Google Drive or another cloud service, their files are often also synchronised or mirrored onto the local computer.

Cloud storage doesn’t automatically mean those files consume no local space.

Do cloud files always take up SSD space?

Not necessarily.

Many cloud storage platforms can keep files online-only until they are needed, while others may maintain local copies depending on the settings being used.

This means two people with the same 500GB cloud account could have completely different local storage requirements.

One may keep almost everything online.

The other may synchronise their entire photo and document collection onto the laptop.

When choosing storage capacity, think about what will actually be stored locally rather than the nominal size of your cloud account.

RAM and SSD storage are not the same thing

This is something we explain surprisingly often.

8GB of RAM and a 256GB SSD are completely different specifications.

RAM is the computer’s temporary working memory.

The SSD is where Windows, applications and your files are stored.

In our 8GB vs 16GB RAM guide, we use a kitchen analogy:

  • CPU = the chef
  • RAM = the chopping board
  • SSD = the fridge

The RAM is the immediate workspace where the chef can have ingredients and jobs in progress.

The SSD is the fridge where everything is stored until it is needed.

A bigger fridge lets you store more food.

It doesn’t make the chef cook any faster.

Likewise, replacing a 256GB SSD with a 1TB SSD doesn’t automatically make Word, email or a website run faster simply because the storage capacity is larger.

SSD vs HDD: one upgrade that really does make a difference

There is one storage-related upgrade that can make an enormous difference to an older computer:

Moving from a mechanical hard drive to an SSD.

For those of us who have worked with computers since mechanical hard drives were standard, the difference is night and day.

A traditional hard disk drive, or HDD, stores data on spinning magnetic platters and uses a mechanical head to read and write information.

An SSD has no moving parts and can access data much more quickly.

The result is typically a computer that:

  • Starts Windows faster
  • Launches applications faster
  • Feels much more responsive
  • Handles normal file access more quickly

If you’re still using a computer with a mechanical HDD as its Windows drive, moving to an SSD is often one of the best-value upgrades you can make.

Today, nearly all of the laptops and desktops we sell at NZ Laptop Wholesale already come with SSD storage, so this is much less of an issue for customers buying from our current range.

Does a 1TB SSD run faster than a 256GB SSD?

Not simply because it has more capacity.

Drive performance depends on factors such as the SSD technology, interface, controller and the particular drive model.

You shouldn’t assume that a laptop with a 1TB SSD is automatically faster than one with a 256GB SSD.

The larger drive primarily gives you more storage capacity.

For most everyday buyers, we’d focus first on having an SSD of an appropriate capacity rather than chasing the largest storage number on the specification sheet.

How much free space should you leave on an SSD?

We generally recommend that customers avoid completely filling their system drive.

As a practical rule of thumb, we like to leave around 20% free where possible.

Windows and applications need working space for things such as:

  • Temporary files
  • Windows updates
  • Application updates
  • Caches
  • Virtual memory
  • File management and maintenance operations

An SSD that is constantly sitting almost completely full can also become inconvenient because even routine updates or downloads can run out of available space.

You don’t need to obsess over maintaining an exact percentage, but if a 256GB drive is permanently sitting at 245GB used, it’s probably time to clean up some data or consider additional storage.

Why doesn’t a 256GB SSD show exactly 256GB in Windows?

This catches many people out.

The advertised capacity of a drive will not normally appear as exactly the same amount of usable space in Windows.

There are several reasons for this.

Drive manufacturers and operating systems can represent storage capacity differently, and formatting the drive also uses some space for the filesystem itself.

On top of that, once Windows is installed, the operating system, recovery information, updates and other system files occupy part of the available storage.

So if you purchase a laptop advertised with a 256GB SSD, you should not expect Windows to show 256GB of completely empty usable storage.

That is normal.

How much space does Windows take up?

Windows itself consumes part of the drive before you install any of your own applications or save any files.

The exact amount can vary depending on the version of Windows, updates, drivers, recovery files and other system components.

This is another reason we prefer 256GB as the practical starting point where budget allows.

A 128GB SSD may be adequate for a lightweight user, but Windows represents a larger percentage of that total capacity than it does on a 256GB or 512GB drive.

Can laptop SSD storage be upgraded later?

Often, yes.

Most of the ex-lease business laptops and desktops we receive already arrive with an appropriate SSD type and capacity for the machine.

Many business laptops use replaceable M.2 or other SSD formats, which means the drive can potentially be replaced with a larger-capacity unit.

The exact upgrade options vary by model, so you shouldn’t assume every laptop uses the same drive type or supports the same capacities.

If you know you need more storage, it can be worth choosing the larger drive when you buy the machine rather than migrating everything later.

How do we check SSDs in our refurbished computers?

Storage is part of the refurbishment process at NZ Laptop Wholesale.

When an ex-lease machine is prepared for resale, the existing data is securely wiped and the drive is checked as part of our testing process.

We also inspect the drive’s SMART health information.

SMART — Self-Monitoring, Analysis and Reporting Technology — allows a storage device to report information about its health and operating condition.

If the SMART information shows signs that a drive may be developing problems, we don’t sell that drive.

We’d rather replace a questionable component before the computer goes out than knowingly pass a potential problem on to the customer.

What should you choose for a school laptop?

For most school users, 128GB or 256GB can be enough depending on how the device will be used.

If schoolwork is mainly browser-based and documents are stored through OneDrive, Google Drive or another managed cloud system, enormous amounts of local storage usually aren’t necessary.

Where budget allows, we’d still favour 256GB because it provides more room for applications, updates and files over the useful life of the laptop.

The school’s actual software requirements should always take priority.

What should you choose for a work laptop?

For a normal office laptop, 256GB is often an excellent fit.

Many business users work primarily with Microsoft 365, SharePoint, OneDrive, browser applications and centrally managed company data.

If you regularly work with large files locally, 512GB may make more sense.

For specialist applications or large datasets, determine the storage requirement from your actual workload rather than automatically selecting the largest drive available.

What should you choose for your main home laptop?

This is where we’d be more inclined to consider 512GB.

A personal computer often accumulates data for years.

Photos from phones get copied across.

Documents move from old machines.

Videos get downloaded.

Applications get installed and never quite removed.

If you’re buying a laptop that you intend to use as your main personal computer for several years, paying a little more for additional storage can be worthwhile.

It is generally easier to have some unused space than to discover two years later that you’re constantly trying to free up a nearly full drive.

Should you buy the biggest SSD you can afford?

Not necessarily.

The same philosophy we use when discussing processors and RAM applies to storage:

Buy what suits the job.

If you only use 80GB of storage, buying a 1TB SSD doesn’t make the computer inherently better for you.

That money may be better spent on:

  • A newer-generation laptop
  • A better screen
  • More RAM if your workload requires it
  • A better processor if your software needs it
  • A machine in better overall condition
  • Simply keeping the money in your pocket

On the other hand, if you’re already close to filling your current 256GB drive, it would be false economy to buy another 256GB machine purely to save a small amount.

Your existing storage usage is often the best guide.

How can I check how much storage I currently use?

If you’re replacing an existing Windows computer, checking how much storage you currently use is one of the easiest ways to estimate what you need next.

Open Settings > System > Storage in Windows.

If your current computer has a 256GB drive and you’ve only used around half of it after several years, another 256GB machine is likely to be perfectly adequate.

If you’re constantly deleting files because the drive is nearly full, move up to 512GB or more.

You don’t have to guess when your current computer can often give you the answer.
